We are charities which are dedicated to helping families who have a child suffering from Cancer or Leukaemia in Tayside or North East Fife.
We are data controllers and are responsible for your personal information.

When making a booking at our TCCL Lodge, we collect personal information relating to you and any person accompanying you during your stay. This includes special category data. Special category data relates to details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, health and genetic and biometric data. The special category data we collect includes details regarding children’s diagnosis, treatment and medical practitioners.
We collect this information as we have a legitimate interest: (i) to be aware of all individuals staying at the TCCL Lodge; and (ii) to instruct local medical services, should their assistance be required during your stay. By providing personal information to us about your child, you are consenting on their behalf as a parent or guardian to our processing of this information.
The following third parties will collect information from you:
if you make a donation to us directly and wish us to claim Gift Aid, your personal information will be passed to HMRC through a Gift Aid Declaration to enable us to do this
What happens if you fail to provide personal information?
Where we need to collect personal information by law, or under the terms of a contract we have with you and you fail to provide that information when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to complete your booking). In this case, we may have to cancel the contract but we will notify you before doing so.
How is your personal information used?
We will only use your personal information when the law allows us to. Most commonly, we will use your personal information in the following circumstances:
where we need to perform the contract we are about to enter into or have entered into with you;
where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests;
where we need to comply with a legal or regulatory obligation.
We may use your information to:
process a donation / Collect Gift Aid on a donation that you have made;
allow us to provide support to you;
notify you of changes to our services that we can offer;
book a slot at TCCL Lodge;
process a grant application.
How is your personal information stored?
We take steps to ensure that your personal information is stored securely through appropriate physical, electronic and managerial measures. This helps to protect your personal information from loss, misuse, unauthorised access, modification or disclosure.
In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal information on our instructions and they are subject to a duty of confidentiality.
Please note, though, that the internet is not a completely secure environment and we cannot guarantee the security of information sent to us electronically, so any transmission is at your own risk. Once we receive your information, we make our best effort to ensure its safe storage, either electronically or in hard copy.
How long will we store your personal information?
We will only hold your personal information on our systems for as long as is necessary for the relevant activity that your personal information is collected for, including for the purposes of satisfying any legal, accounting or reporting requirements.
For example, we will retain:
holiday bookings information for up to six years;
event participation information for up to three years;
communications preferences for up to five years;
Gift Aid details for up to seven years
To determine the appropriate retention period for personal information, we consider the amount, nature, and sensitivity of the personal information, the potential risk of harm from unauthorised use or disclosure of your personal information, the purposes for which we process your personal information and whether we can achieve those purposes through other means, and the applicable legal requirements.
Who has access to your personal information?
We will not:
(i) sell or rent your information to third parties; and
(ii) share your information with third parties for marketing purposes.
We will disclose your information to third parties if you have requested us to do so, or we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.
When using our secure online donation pages, your donation is processed by a third-party payment processor, BT MyDonate, who specialises in the secure online capture and processing of credit/debit card transactions. If you have any questions regarding these transactions, please contact us.
We may share donation and gift aid information with our bankers, payment services providers, accountants and HM Revenue & Customs in order to provide banking / payment services and prepare our financial accounts and statutory annual returns.
Can you withdraw your consent?
You have a choice about whether or not you wish to receive information from us. If you want to receive infrequent newsletter communications from us about the work we do, then you can opt in to this service by providing your email via the sign-up link on our website.
We will not contact you for marketing purposes by post, email, phone or text message unless you have given your prior consent. You can change your preferences and withdraw consent at any time by contacting us by email: firstname.lastname@example.org.
